Printing private documents

This guide will walk you through printing a private document to a shared printer. The printer will hold your document and only print it when you enter a code at the printer.

Xerox Printers

  1. When printing, click the link for Printer Properties under the name of the printer you have selected


  2. Click the Job Type dropdown and select Secure Print... from the menu

  3. Enter a 4 to 10-digit PIN in the Secure Print box, then click the OK button

  4. Click Print to send your job to the printer
  5. Walk up to the printer and tap the Jobs icon
  6. Tap the Secure Jobs button on the upper right corner of the screen
  7. Tap the entry with your username from the list
  8. Enter the passcode on the screen, then tap the OK button in the upper right corner
  9. Tap the name of your print job, or tap the Print All button if you have more than one
  10. Your document will print and no longer show up in the Secure Jobs list

HP Printers

  1. When printing, click the link for Printer Properties under the name of the printer you have selected



  2. Click the Job Storage tab at the top of the window.
    Under Job Storage Mode, select the Personal Job option.
    Under Make Job Private/Secure, select the PIN to print option.
    Enter a 4-digit number in the PIN box.
    Click OK to exit Printer Properties.

  3. Click Print to send your job to the printer
  4. Walk up to the printer and click Jobs/Retrieve Jobs(Some printers may require clicking through menus with arrow keys)
  5. Click your Username that was set up in Step 2(first initial and last name ex. DDEAN)
  6. Enter your PIN and press OK; The job should print and will no longer show in Jobs 

Kyocera Printers

  1. When printing, click the link for Printer Properties under the name of the printer you have selected

  2. Click the Job tab on the left menu
    Click the checkbox in the icon under the Job storage (e-MPS) heading
    Change the Type dropdown to Private print
    Uncheck the Prompt for access code box
    Enter a 4-digit code in the Specify access code box
    Click OK to exit Printer Properties

  3. Click Print to send your job to the printer

    The rest of these steps are done at the printer

  4. Select Job Box
  5. Select Print/Stored Job and then Open
  6. Select your username and then Open
  7. Your jobs will be listed, select the job(s) you want then select Print

  8. You will be prompted to enter your access code

  9. You have the option to enter a quantity of copies (if you do not enter a number, one copy will print)

  10. Select Start printing


If the access code you selected doesn't work, try 0000. If this works, contact the IT department for assistance.
