Manage your meeting

Here are some common tasks to perform or changes to make during your Teams meeting


Allow dial-in users to connect directly (bypass the lobby)

By default, dial-in users will be placed into a lobby, and an organizer will need to admit them.

To let dial-in users connect directly, follow these steps once the meeting has started:

  1. Click the 3 dots icon in the upper right section of the meeting window
  2. Select Meeting options from the drop down menu. The Meeting options panel will expand.

  3. Locate the setting Always let callers bypass the lobby and enable it



  4. Click Save to confirm the change


Record a meeting

  1. During the meeting, click the 3 dots button in the upper right section of the meeting window, and select Start recording from the menu

  2. There will be a short delay before the recording starts. Once the recording starts, a banner will appear along with a red circle in the upper left corner

  3. To stop recording, click the 3 dots button again and select Stop recording from the menu
    A new banner will appear to show that the recording is being saved.

  4. A link to the recording can be found in the chat history. You can access the meeting chat history during the meeting by clicking the chat button in the top menu



    You can also access the meeting chat history and the recording from the Chat section in your Teams app.

  5. The recording is stored in MP4 format. To download, click on the thumbnail of the video and then click the Download button on the top menu.

Share a presentation

Follow these steps to share a Powerpoint presentation in a meeting. you will see

  1. Click the Share content button in the upper right section of the meeting window. The Share content panel will appear
  2. Scroll down to the PowerPoint Live section, and select Browse my computer to locate the presentation you want to use.



  3. The presentation will upload and then open after a short delay. As the presenter, you will see your current slide, thumbnails of other slides, and your notes.


    Attendees will only see the current slide:
  4. Attendees can scroll through the slides on their own. To lock attendees to the current slide, click the "eye" button on the top menu:
  5. When you're done, click the Stop presenting button on the top menu to end the presentation. This does not end the meeting


Share your screen

Follow these steps to share your screen in a meeting

  1. Click the Share content button in the upper right section of the meeting window. The Share content panel will appear


  2. Select a screen, or click Window to select one app window. A red border will appear around the content being shared, and you'll have a small meeting panel.

  3. To end sharing, click on the small meeting panel, then click the Stop sharing button.
